Associations: turn the annual meeting into a year of engagement

Most associations don't have a written engagement plan or a community platform. Your annual meeting is the best place to start one.

Associations live and die by engagement. Members who get value renew; members who don't, drift. Yet according to GrowthZone's 2026 annual association report, 75 percent of associations don't have a written plan for increasing engagement, and 58 percent don't have a community platform, and among those that do, most have drawn in less than 40 percent of members (Associations Now, February 2026).

There's one place where most of your engaged members gather every year: the annual meeting. It's the natural place to start.

The annual meeting is a networking event

Members come for education, but many stay members for each other. The connections made at the annual meeting, and whether they last, are a large part of the value of belonging. So treat networking as a program, not as the coffee breaks between sessions.

  • Ask members what they're here for when they first open the event app: interests, goals and what they can offer.
  • Suggest who to meet, with reasons. A first-time attendee who's here to find a mentor should meet a long-time member who can help with mentoring.
  • Make meetings easy: requests that book into breaks, at tables, with reminders.

Make first-timers feel known

First-time attendees are your biggest engagement opportunity and your biggest risk. A personal start page ("Here's your plan for today", picks for their interests, people to meet) does more for a newcomer than a 60-session PDF.

Keep the content working after the meeting

Session summaries, recorded talks and the resources shared during the meeting are valuable to members who couldn't attend. Making them easy to find, and summarized so people can decide what's worth their time, extends the meeting's value beyond the three days.

One platform across your events

Many associations run several events a year: an annual meeting, regional chapters, an education summit. Members shouldn't have to learn a new app for each. Running them on one platform, with the same sign-in and profiles, makes every event a little easier to show up to than the last. An annual plan that covers every event also makes the budget predictable.

Measure what matters

For associations, the useful numbers are:

  • how many attendees used the app at all
  • how many meetings were booked and accepted
  • which sessions drew the most check-ins and the best ratings

Those tell you whether the meeting delivered connection and learning, not just attendance.

Eventlane is built for exactly this: an app members open from a link, matchmaking by interests and goals, and an annual plan for associations that run several events.
